Infrastructure Management

Infrastructure management of an event involves the planning and supervision of all necessary physical elements, such as facilities, stages, lighting, sound and services, to ensure that the event takes place safely and efficiently, meeting the needs of attendees. and the objectives of the event.

A lot can be said about infrastructure, but it will always be about the type of event we want.

Managing infrastructure at a public event involves planning, coordinating and supervising all the physical elements necessary for the event to develop effectively. Here are key steps to carry out this management successfully and that we implement from the beginning of the project:

 

  1. Identification of necessities:

    • Understand the specific needs of the event in terms of facilities, stages, lighting, sound, electricity, toilets, exhibition areas, among others.

  2. Selection of Space and its adaptability:

    • Choosing a place that adapts to the size and type of event, and that has the basic infrastructure required (electricity, water supply, accessibility, etc.).

  3. Space Planning:

    • We design a detailed plan of the infrastructure layout at the event site, considering all aspects such as the location of stages, exhibition areas and stands.

  4. Coordination with Suppliers:

    • We select and coordinate reliable suppliers for the installation and management of infrastructure (stage assembly companies, stands, tents, chemical baths, bar or restaurant services, all sound and lighting infrastructure, inclusion of multimedia equipment, etc.).

  5. Facilities Management:

    • Supervision of the assembly of infrastructure in accordance with the plan previously designed and approved by the agency, ensuring that everything is in place and works correctly.

  6. Energy supply:

    • Ensure an adequate electrical supply for all event needs, using ultra-quiet generators if necessary.

  7. Security and Emergencies:

    • Implements security measures around infrastructure, such as fences or barriers, and ensures that security regulations and the appropriate Occupational Risk Plan for each work team are met.

    • If the event is massive, have adequate medical services to care for the attending public, as well as in collaboration with Civil Protection.

  8. Ongoing Maintenance:

    • Establish a maintenance team on site to address any immediate issues or repairs that may arise during the event.

  9. Accessibility:

    • Ensure that all infrastructure is accessible to people with disabilities, complying with accessibility regulations.

  10. Waste management:

    • Plan waste management and regular cleaning of the venue during and after the event.

  11. Communication and Signaling:

    • Placing clear signage to guide attendees to areas and services, emergency exits or evacuation routes and provide information to Civil Protection about the location of key infrastructure.

  12. Post-Event Evaluation:

    • Conducting a thorough inspection and evaluation of all infrastructure after the event, identifying any damage or need for repair.

 

Infrastructure management is essential to ensure that a public event runs smoothly and safely. Proper planning, efficient coordination, and attention to detail are key to achieving this goal.
